The product

What is bagai?

Work management for small businesses that work for clients: tasks and projects, hours, leave and absences, calendar. On your computer and your iPhone, by voice too, and connected to your AI assistant.

Who is it designed for?

For companies that work for clients, in any country: engineering and consulting firms, IT service providers, MSPs and software houses, installers and field technicians, service companies. If you’re coming from ClickUp, there’s an importer.

Why bagai rather than ClickUp, Asana, monday.com or Jira?

Because it keeps tasks, hours and leave together, which elsewhere takes two or three tools: tasks with Gantt and board, hours with a budget per project, leave with balances and public holidays, calendar. One price with everything included, your own dedicated instance and database in Switzerland, AI assistants that work with your permissions. From ClickUp, you bring your workspace over with the importer.

And instead of Clockify, Timebutler or Bexio?

bagai tracks hours and manages leave, and on top of that it keeps the tasks and projects those hours end up on: estimated against actual hours, budgets, what each client cost at the end of the month. Invoicing and accounting stay in your current software until summer 2027: you export the hours to CSV.

What’s the difference between client, company and project?

The client is the customer you do the work for. The company is your own business, the one that carries it out: a group can have more than one. The project is the work you do for a client: it ties together a company, the client if there is one, the budget and the team. A task can belong to a project or not; if it doesn’t, it says which of your companies it’s for.

How do I log working hours?

With a timer on the task, even several in parallel, or manually, as a duration or a from–to range. Time that doesn’t belong to a task is logged as a standalone activity. Everyone has their own weekly timesheet, and people with permission can open their colleagues’ timesheets, read-only. Time entries can be exported to CSV.

Does it handle leave and absences, with public holidays?

Yes. Requests for annual leave, special leave, hourly leave and sick leave, with approval and emails to both the approver and the person asking. The annual balance is calculated in days and hours, with automatic carry-over on 1 January. Public holidays come from the country or region of the employing company: 155 countries and regions, Swiss cantons included.

Does it connect to my Exchange, Microsoft 365 or Google calendar?

Yes, both reading and writing: Exchange on-premises, Microsoft 365 and Google. bagai reads every ten minutes and writes almost in real time, without duplicates and never with the reason for an absence. The feature is off by default and is turned on separately for each instance.

Does it work with WhatsApp?

Yes, as an experimental feature that’s off by default. bagai reads only work chats, transcribes voice messages and suggests what to record in bagai: nothing is saved without your “Accept”. Messages are encrypted and deleted after 30 days.

How much does bagai cost?

CHF 49 per user per month, VAT included. Until 31 March 2027 the launch price is CHF 19, and if you subscribe by then you keep paying 19 afterwards. It’s the final price, in Swiss francs: in Switzerland it includes VAT where due; outside Switzerland we add no Swiss tax. That covers AI tokens, a dedicated instance and database for your company, and every module: even the ones that start switched off (external calendars, WhatsApp, AI assistants, push notifications) cost nothing extra and are turned on separately for each instance. Your own domain only costs extra if we register it for you. Subscriptions to the services you connect, such as your AI assistant, are not included.

Does the launch price still apply after 31 March 2027?

Yes, if you subscribe by 31 March 2027: you keep paying CHF 19 per user per month afterwards, for as long as your subscription runs. Users you add later also pay 19. If you subscribe from 1 April 2027, you pay the list price of CHF 49. This also applies to beta participants who subscribe at launch.

Which languages is it in?

English and Italian: web, apps, email and voice commands. Everyone picks their own language. German and French are on the way.

Can bagai be adapted to my company?

Yes. We adapt the features to your company’s needs. It starts with a free 30-minute introductory video call, which you can request from the contact page. The quote is free too, and you only pay for the customisation if you accept it. Dedicated consulting is something else: it costs CHF 180 per hour, VAT included.

Does it also do invoicing or accounting?

Not yet: full accounting, invoices included, arrives by summer 2027, and the CRM in spring 2027. Today bagai records tasks, projects and hours. Time entries can be exported to CSV, which Excel opens, and from there you bring them into the software you use for invoicing and accounting.

Voice commands

How do voice commands work?

You dictate a sentence, for example “log two and a half hours on T-142, done yesterday”. bagai reads back what it understood, with the real names and dates, and only saves it once you say yes. It handles 29 commands, in English and Italian. Today you can try it in the browser; voice commands are designed for the apps: iPhone in beta in November, Android in beta in December, Apple Watch by the end of 2026.

What if it gets it wrong?

You notice at the read-back, before anything is saved. You can correct one field (“no, it’s due Friday”) without saying everything again, or cancel. Anything it didn’t understand stays empty, and the read-back tells you so: bagai doesn’t guess names, dates or assignees.

Can I delete things by voice?

Yes: a task, a client, a project, a company or a tag, if you have permission. The read-back for a deletion is different from the others: it names what’s about to disappear and says it can’t be undone. Comments, logged hours and attachments, on the other hand, can only be removed from the detail page.

Are voice recordings kept?

While we’re still fine-tuning the feature, for a few days, only to understand why a command was misunderstood; then they’re deleted automatically. They can’t be played back from bagai. If you use your phone’s own speech recognition and send only the text, bagai keeps no recording.

AI assistants

Which AI assistants can I connect?

Claude, ChatGPT, Copilot, Gemini, Le Chat, Cursor and command-line assistants that support MCP. They connect to your account with OAuth consent.

Does the assistant see all the company’s data?

No. It acts as you, with your permissions: it sees what you see and does what you can do. If your role only sees your own tasks, the assistant only sees those.

Do I have to use an AI assistant?

No. AI assistants are off by default. Even if they’re turned on for your instance, you still need the ai.connect permission, which no role has to begin with.

Where does the data the assistant reads end up?

It becomes part of your conversation with the assistant, and is processed by its provider under the terms of your account with them. It’s worth bearing in mind when you choose an assistant and a plan.

How do I disconnect an assistant?

Under Settings → AI assistants. If you don’t use it for 90 days, it disconnects itself, and if your account is deactivated, it stops working along with everything else.

Security and data

Is my company’s data kept separate from other companies’ data?

Yes. Every company that uses bagai has its own dedicated instance: its own database, file storage and address. No data is shared between instances.

Where is the data stored?

Each company’s instance and database are hosted on GigaKube, Daiko Lab SA’s managed Kubernetes service in Switzerland. Some optional features, off by default, go through external services: push notifications through Google’s Firebase, Microsoft 365 and Google calendars, WhatsApp, and the AI assistants you connect. The details are on the Security page.

How is sign-in protected?

Access is by invitation only. There’s two-factor authentication (2FA) with an authenticator app and recovery codes, and passkeys on the web. A deactivated account is blocked everywhere: password, passkeys, open sessions, apps and AI assistants.

Who can see colleagues’ sick leave?

The list of absences is personal. People who only have permission to see attendance see “Absent”, without the type, because sickness is health data. bagai never writes the type or the reason to external calendars.

Do you have any certifications?

We don’t claim any certifications at present. If we obtain any, you’ll find them on the Security page.

Can I export my data?

CSV exports cover the task list with filters, time entries, the summary by project and workload per person. A full export of an instance isn’t available yet: if you need one, get in touch.

Beta and dates

When can I try bagai?

Public beta sign-ups open on 1 November 2026. Until then, you can leave your email on the beta page and we’ll let you know.

What happens on 1 December 2026?

bagai launches, at the launch price of CHF 19 per user per month instead of 49, VAT included. Subscribe by 31 March 2027 and you stay at 19 afterwards.

How long does the beta last, and how many places are there?

There are two confirmed dates: sign-ups from 1 November 2026, launch on 1 December 2026. We tell everyone who signs up about places and duration, together with the beta terms.

Is the beta free?

Signing up doesn’t commit you to anything and costs nothing. You’ll receive the beta terms before you start, and it’s up to you whether to accept them. From the 1 December launch, bagai costs CHF 19 per user per month instead of 49, VAT included, if you subscribe by 31 March 2027.

What happens to my data when the beta ends?

You can export it to CSV at any time. What happens to your instance at the end of the beta is set out in the terms you receive before you start.

Can I sign up if my company isn’t in Switzerland?

Yes. bagai works from any country: public holidays for 155 countries and regions, a time zone per person, a currency per company, interface in English and Italian. The form accepts companies from any country.

Apps and platforms

Is there an app for iPhone or Android?

The iPhone app comes out in beta in November 2026, the Android app in December 2026. The apps for iPad, Mac and Apple Watch follow by the end of 2026. Today bagai runs on the web, and the API the apps run on is already in use and documented.

What about a Windows PC?

There won’t be a separate app for Windows: you use the web app. It already works in the browser; by the end of 2026 you’ll be able to install it as a desktop app.

Will it work on the Apple Watch?

Yes: the Apple Watch app arrives by the end of 2026. It’s designed for people who work with their hands full and want to dictate and confirm from their wrist.

Moving to bagai

I’m coming from ClickUp: can I bring my data?

Yes. An administrator connects ClickUp from the web with their personal token. bagai reads the whole workspace and lets you decide what each piece becomes: projects, company, statuses, people. Then it imports people, tags, projects and folders, tasks and subtasks, checklists, comments, attachments, hours, statuses, dependencies and watchers.

What about anything that doesn’t come across?

At the end of the import, a report tells you what didn’t come across, so you know what to sort out manually.

I use Excel or other software: what can I do?

Today there’s an importer only for ClickUp. Tell us in the beta form what you use: it helps us understand what’s missing.
